Job description
Together with the other Tender Manager Belux, responsible for preparing managing bids and tenders in BeLux in order to respond to the Tendering Authority in a qualitative, commercial friendly and timely manner.
The role is furthermore responsible for coordinating and communicating all questions in the tender requests and for setting internal deadlines for input and coordination of the tender information in order to meet all external deadlines for submission.
The role is also responsible for securing that the tender databases are regularly and accurately maintained and that key information is cascaded to the relevant stakeholders.


What you’ll do
  • The tender process is managed within the Strategic Partnership Unit : Upon receiving the published dossier, the tender manager will identify all requests, attribute them to internal stakeholders and identify potential gaps.
  • The tender manager will assess the requirements and will prepopulate the assumption model.
  • The tender manager will present these elements within the Strategic Partnership Unit during the weekly tender core team meeting.
  • The tender manager will build the tender dossier and write/compose the tender from scratch in Dutch/French.
  • The tender manager will follow-up on missing info.
  • The tender manager will submit the dossier to the tendering authority post signature.
  • The tender manager takes the lead in the weekly tender meetings in order to make sure all identified elements are recorded, discussed and aligned upon.
  • Secure that the tender databases (MERIT etc) are regularly and accurately maintained.
Profile
  • Team work:
    • While focusing on building and maintaining the tender mgmt. framework the role works closely with other functions (I.e. marketing, sales, regulatory, medical affairs, finance and legal).
    • Establish a proactive and interactive information flow with relevant business teams, as applicable to manage tenders successfully.
    • The tender manager is a very good team player within the Commercial Strategy and Strategic Operations team.
  • Compliance:
    • Keep informed of relevant compliance policies including interactions policy – especially interaction with third parties and interaction with government officials
Required Skills
  • Several years of commercial experience in business or life sciences or equivalent
  • Language: Strong FR AND Dutch + Englisch at business level
  • Work experience within and substantial understanding of pharma or biotechnology environment.
  • Can work independently and can take the lead in transversal meetings
  • Experience with tendering is a clear plus.
  • Ability to understand and distill complex information on procurement processes and tenders into understandable concepts and language
  • Computer literate with interest in digital solutions, web-based platforms (E-tendering)
  • Able to build a dossier in answer to the specific tender requirements
  • Able to write a complete commercial friendly dossier in NL/FR
  • Project Management: able to plan against short deadlines
  • Is very accurate and precise as owner of action plan
  • Problem Solving mentality
  • Hands-on, able to learn fast
  • Brings structure in complexity
  • A good knowledge of SAP and Microsoft Office and especially excel
  • Customer and marketing insights
  • Must access systems to submit and initiates activities:
    o ERP system (SAP – COMET)
    o Tender filing in Belgian & Luxembourg official platforms
  • Meetings:
    o Participates to the monthly department staff meeting for the Strategic Partnership
    unit
    o Participates to the Strategic Operations Team weekly meeting
    o Participates to the weekly Tender meeting
    o Participate to other ad-hoc meetings (technical, projects)
  • Schedule/Presence:
    o Presence is expected during normal business hours
